TheraNotes privacy notice

This product-specific notice explains how the TheraNotes clinical drafting workspace handles information. It should be read with Flourish Health Australia’s organisation-wide privacy policy.

What TheraNotes is

TheraNotes is an invite-only workspace used by authorised Flourish Health Australia personnel to prepare clinician-review Functional Capacity Assessment drafts. It supports clinical work; it does not replace the responsible clinician’s judgement, professional obligations or final sign-off.

Information handled in the workspace

Depending on the assessment, TheraNotes may handle:

  • participant identity and NDIS details;
  • health, disability, functional, assessment and support information;
  • referrals, clinical notes and documents supplied for the current assessment episode;
  • clinician identity, professional credentials and workspace activity; and
  • technical information needed for security, authentication and reliable operation.

Why information is used

Information is used to provide allied-health services, organise current-client evidence, prepare and review FCA drafts, meet clinical and legal obligations, maintain security, investigate incidents and improve the reliability of the service. TheraNotes is not intended to make autonomous clinical, eligibility or funding decisions.

Access and safeguards

Access is limited to authenticated users within the relevant organisation and is governed by role and report responsibility. Source files are held in private storage. The application keeps evidence gaps and contradictions visible and requires clinician review before finalisation. No internet service can be guaranteed completely secure, so suspected privacy or security incidents should be reported promptly.

Service providers and overseas processing

TheraNotes relies on contracted technology providers for hosting, authentication, storage and limited AI-assisted drafting functions. Their processing locations and contractual arrangements can change. Flourish Health Australia remains responsible for assessing permitted disclosure, data location and contractual safeguards before production use. Access, correction and complaints

You may request access to, or correction of, personal information held by Flourish Health Australia, or raise a privacy concern, by emailing admin@flourishhealth.com.au or calling (03) 7043 7778. Identity may need to be verified before information is released or changed.
